Generate / Regenerate Apprenticeship Documents for a Learner Program

Before an apprenticeship can officially begin, a set of mandatory documents must be completed and signed. These include:
The Training Plan
The Contract of Service
The Apprenticeship Agreement
These documents outline the responsibilities of all parties and are essential for funding compliance and audit readiness.

You can generate, send for e-signature, and regenerate the documents to reflect any updates to the Learner Program. You can also send reminders to those who do not complete the e-signature process.
Generate the Apprenticeship Documents for the first time

Step 5: Once the documents have generated, you can Preview each one by clicking the 'Preview' button beneath each document.
Send the Apprenticeship Documents for e-Signature
Step 6: Click the Send button on the Generate Apprenticeship Documents pop up. A preview pop up will appear.
Step 7: Click Send for signature in the bottom right corner.
Note: The system will send an email containing a link to each individual required to sign the documents.
Regenerate the Apprenticeship Documents
To regenerate the Apprenticeship Documents (e.g. when there is a change to the Learner Program) go to Step 3 above and click Regenerate Documents then follow the steps from Step 6 to preview and resend the documents for signature.
Send Reminders
If the Apprenticeship Documents have not been signed, you can send a reminder to the relevant party or parties. To do this, open the Generate Apprenticeship Documents pop-up and click Send Reminder, then click Send. An email will be sent to anyone who has not yet completed the signature process.
Note: If there is no Main Training Provider Supervisor or Main Employer Supervisor selected for the learner on the Program Details tab of the Learner Program, an error message will be displayed when trying to generate the Apprenticeship Documents. To rectify this, go the Program Details tab and select the relevant individuals.
All documents are available to download within the Apprenticeship Documents tab once generated. Signatures are added when the user completes the signature process.
