Download the e-Portfolio for a Learner Program

You can download a Learner’s full e-Portfolio as a Zip file for offline viewing, record-keeping, or sharing with the Assessment Organisation. The download includes all selected Activity Evidence and Learning Log entries.


This article describes how to:


  • select which activities or learning log entries to include in the e-Portfolio
  • generate the Zip file

First, select which Activity Evidence or Learning Log entries to include:

Step 1: Click Learners from the left-hand menu and locate the relevant Learner Program in the table.

Step 2: In the Actions column, click Open Program.

Step 3: Go to the e-Portfolio tab.

Step 4: Tick or untick the checkbox under the EPAO column for the relevant item to include it in, or exclude it from, the e-Portfolio.

Step 5: Now go to the Learning Log tab and repeat Step 4.

Next, generate the zip file:

Step 6: From the Learner Prorgram, in the top row of buttons, click Download e-Portfolio. A pop up will appear informing you that the zip file is being generated and once done you will receive a confirmation message - the zip file will download automatically.

Understanding the zip file structure:

Locate the download - it will be named using the Unique Learner Number (ULN) for the Learner, followed by the download date - and open it.  Inside you will see two main folders:

Activity Evidence:  This folder includes one subfolder for each item of Activity Evidence included in the e-Portfolio.


Each Activity Evidence folder contains:


  • All files uploaded by the Learner or Assessor against the Activity.

  • A ksbs spreadsheet showing all Knowledge, Skills and Behaviours the learner has demonstrated in the Activity.


  • An epao spreadsheet including:

    • Learner Notes

    • Feedback Date

    • Provider Feedback

    • Rejection Notes (if applicable)

Learning Log:  This folder follows the same structure as above, with a folder for each Learning Log entry.


Each Learning Log folder includes:


  • All files uploaded against the Learning Log.

  • A ksbs spreadsheet showing all Knowledge, Skills and Behaviours the learner has demonstrated in the Learning Log.

  • An epao spreadsheet including:


    • Date

    • Learning Log Hours

    • "Please detail the learning from this activity"

    • "Explain how this learning has helped you in your job role"

    • Feedback Date

    • Provider Feedback / Referral Notes
